November 2003 Packet

If you are receiving this letter (instead of a full packet) you are on the list for electronic distribution. In this case, I am sending you a single letter and asking you to download all the enclosures that would normally receive in hardcopy.

Contact information is not optional

When I’m trying to get in touch with you I always email or call first. Please remember to update your information with me when you change it. Without accurate information I can’t do my job The job of KMOL comes with inherent reporting responsibilities for that reason I’m enforcing the policy that failure to maintain accurate contact information is grounds for the suspension of your warrant.

Temp Cards

NCR Padded Temp cards are currently on hold for a little while. Hoping to have them ready next quarter.

Siege Weapon

New fighter cards have been issued for all the old hand written ones.

Funds

Cashiers or bank counter checks are also acceptable ways to transmit money. Most banks will issue these free to account holders. Money orders or checks drawn on SCA group accounts are also still acceptable

Youth Combat

It’s coming. Be prepared. I’m hoping to be able to send out a bulletin shortly outlining our duties.

Policy Changes

4.2.1.1 Group MOL warrants are automatically renewed, unless the list officer requests to be removed from the roster or the KMoL is unable to contact that list officer.

4.2.1.2 At-Large MOL's must request warrant renewal from the KMoL in writing. At-Large MOL's must work a minimum of 1 event in the previous year in order to remain warranted; this requirement may be waived at the KMoL's discretion.

4.4.1.2 At Universities and Inter-Kingdom events, fighters must present proof of current waiver on file with Corporate or execute a waiver, but no fees for signing waivers will be collected.

Previous 4.4.1.2 is renumbered to 4.4.1.3

4.7.1 If a fighter from another Kingdom is visiting Atlantia, they must show the authorization card from their Kingdom of residence in order to participate in combat activities. The fighter must meet the combat waiver requirements outlined in 4.4.1, but is not required to pay a fee for signing a waiver.

Problems

  1. Failed authorizations do not get sent to me. If they don’t pass throw the paperwork away.
    If the fighter fails to give you money or fails to come back and have his temp cards signed then he has failed to complete the authorization process and fails said authorization.
  2. Reports are due two weeks from date of event. That's two calendar weeks - not two SCA weeks. Remember, extensions can be given - but you have to contact me and ask. Please don’t make me hunt down reports.
  3. Marshals should PRINT AND SIGN LEGAL NAMES (not SCA names) to the temp cards. Please check these I’m having a lot of problems with Sir X or Lord Y signing legal documents.
  4. Illegible paperwork - I'm doing way too much detective work lately.
  5. Even if only 1 fighter shows or there is no fighting because the event is canceled because of snow/rain/hail/plague etc. I need a report saying so.
  6. Only real SCA groups on VoA. I’m getting a lot of non-SCA group names out of MD/DC.

My Management Strategy

I have a fairly strict 3 strikes management strategy. I’d like to review it with all of you so no one is surprised.

1st problem -email or phone call to discuss the issue and my expectations.

2nd problem -phone call with email or snail mail follow up to both you and your seneschal if you are a group MOL.

3rd problem- phone call or personal meeting to discuss a remediation plan for you to maintain your warrant. Your warrant is conditional on your acceptance of the remediation plan and your fulfillment of the plan. You are not allowed to MOL until after the plan has been completed. If you are a group MOL your Seneschal will be notified in writing that a replacement MOL for upcoming events must be located if you are scheduled to MOL before you can complete the remediation plan.

A problem may be defined as a late report, a report with multiple errors, grossly mishandled tournament and other similar items. What constitutes a problem or an issue is decided at the discretion of the KMOL.

Just because this is the way I like to do it does not mean that for serious problems I won’t just revoke your warrant. None of this is policy, it is just my management style. In most cases in order to be offered a remediation plan you must have 3 problems within an 18-month period.
